HR Spring Cleaning: 7 Things Every Organization Should Refresh This Season

Written by Shayna Cooke | Apr 2, 2026 12:00:03 PM

Each year, as winter fades away and we begin to welcome spring, many of us take time to reset our homes — clearing out what’s outdated, organizing what matters, and making space for what comes next. Organizations benefit from the same kind of reset.

Over time, HR systems naturally accumulate small gaps. Job descriptions drift away from the reality of the role. Policies that once reflected the workplace no longer account for remote work, new technologies, or updated regulations. Documentation processes that worked for a team of 30 may not scale well for a team of 150. None of this happens overnight, but left unchecked, those small misalignments can create friction for employees and risk for organizations.

That’s why I often encourage leadership teams to schedule an annual “HR spring cleaning.” A simple review of core people processes — documentation, policies, onboarding practices, and employee records — can ensure the systems supporting your workforce remain as strong as the people themselves.

The good news is that this kind of reset doesn’t have to be complicated. A focused review of a few key areas can go a long way in keeping your organization compliant, organized, and prepared for growth.

To help make that process easier, we’ve put together a practical HR Spring Cleaning Checklist highlighting the areas every organization should review this time of year.

1. Conduct an I-9 Compliance Check

One of the most important compliance tasks HR can complete each year is an audit of Form I-9 documentation.

Key things to review:

    • Ensure every employee has a completed I-9 on file
    • Verify Section 2 was completed within the required timeframe
    • Confirm supporting documentation is properly recorded
    • Remove I-9s that are past the required retention period

Even minor documentation errors can create compliance risks during an audit, so an annual check can provide peace of mind.

2. Review and Update the Employee Handbook

Workplace policies evolve quickly due to regulatory changes, new technologies, and shifting workplace expectations.

Spring is a great time to confirm your handbook still reflects your organization today.

Review:

    • Paid leave policies
    • Remote work or hybrid policies
    • Workplace conduct expectations
    • Technology and AI usage policies
    • State-specific compliance updates

If your handbook hasn’t been reviewed in the last 12–18 months, it’s worth revisiting.

3. Audit PTO Balances and Leave Policies

Time-off balances can quietly accumulate issues if they aren’t periodically reviewed.

A spring audit should include:

    • Reviewing unused PTO balances
    • Checking compliance with state payout laws
    • Ensuring accrual policies are applied correctly
    • Identifying unusually high balances that may signal burnout risk

This can also be a good moment to encourage employees to plan time off before the busy summer season.

4. Refresh Job Descriptions

Many job descriptions drift out of date as roles evolve.

Updating them annually helps ensure:

    • Expectations are clearly defined
    • Recruiting materials are accurate
    • Performance reviews are aligned with real responsibilities
    • Compensation benchmarking remains accurate

It’s also a great opportunity to confirm roles reflect the skills your organization needs now, including new technology or AI-enabled responsibilities.

5. Review Onboarding Materials

Your onboarding process sets the tone for an employee’s entire experience with your company.

Spring is a good time to review:

    • Offer letter templates
    • New hire documentation
    • Orientation materials
    • Training schedules
    • First-90-day expectations

Small improvements here can significantly improve retention and early engagement.

6. Review Compliance Posters and Required Notices

Employment law notices change frequently.

Confirm that:

    • Federal and state posters are current
    • Remote employees receive digital versions if required
    • Required notices are properly distributed

7. Evaluate Your HR Processes and Systems

Finally, use spring as a moment to evaluate how efficiently your HR processes are running.

Ask questions like:

    • Are there manual tasks that could be automated?
    • Are employee requests being handled quickly?
    • Are HR systems providing useful data for leadership decisions?

Operational improvements here can create significant time savings over the course of the year.
